Service Management

Sell the service, book the visit,
count the hours.

UpChannels runs the service side of a small retail or trade business β€” HVAC and plumbing calls, cleaning routes, lawn care and handyman work, and the installs and repairs that follow an electronics, appliance or furniture sale. Build a service catalog with a base price, an hourly rate, an expected duration and the service type, then drag the week's work onto the calendar.

How a job gets from the counter to the customer's door

Five screens carry a job from the counter to the customer's door and back: the service catalog, the calendar, the dispatch list, the map, and the time clock. They share one record, so the price you quoted, the worker you sent and the hours they logged are the same job.

πŸ“Service Profiles

Every service you sell,
priced and timed in advance.

A service profile holds a base price, an hourly rate, an estimated duration, the service type and the store location it belongs to. Group profiles under your own service types, duplicate one to make the next, and deactivate the seasonal ones instead of deleting them.

Every service line on an order that has not been scheduled yet sits in the Service Requests panel beside the calendar. Drag one onto a day to create the job β€” it stays linked to that order line β€” then drag the job again to move it. Jobs carry a priority from Low to Emergency and a status of Scheduled, In Progress, Completed, Cancelled, Rescheduled or No Show.

One day's stops,
in the order that drives shortest.

Customer addresses are geocoded onto a map. Pick a day and UpChannels builds Google Maps directions from your store through every stop with the waypoints resequenced for the shortest drive, then texts that link to the worker running the route.

⏱️Time Tracking

Hours are clocked against a job,
not written on a notepad.

A worker starts a timer on the job they are on and stops it when they leave. Each entry is tagged Service, Travel, Admin or Break, carries notes and break minutes, and waits as Pending Approval until a manager approves or rejects it β€” rejected entries come back with the reason attached.

Common questions

Scheduling questions, answered

Can I schedule a service I just sold on a sales order?
Yes, and that is the normal path. A service line written on an order shows up in the Service Requests panel next to the calendar as soon as the order is saved; drag it onto a day to create the job. The job stays linked to that order line, so the service you quoted, the customer, the address and the price travel with it and the line stops showing as unscheduled.
Do my workers need a login to see the day's jobs?
No. You can print the dispatch list, or text your team a signed link to the same list β€” it opens in any phone browser with no account, no app and no password, and it expires on its own after seven days by default. Texting uses your plan's SMS allowance, which starts on the Pro plan, so on Basic the printed list and the shared route link are the way to hand out the day.
What stops me from booking two jobs on the same worker at the same time?
A warning, not a hard block. When you drop or edit a job, UpChannels checks that worker's other active jobs on that day and asks "Alex already has Dryer install 10:00-12:00 that day. Schedule anyway?" β€” you can confirm and book it, because double-booking is sometimes exactly what you mean to do. It is a dispatcher guard, not a server-side lock, so two people dispatching at the same moment can still create an overlap.
Can I send a worker an optimized route for the day?
Yes. The map view geocodes each job address, and picking a single day builds a Google Maps directions link that starts at your store, visits every stop and lets Google resequence the waypoints for the shortest drive. You can open it yourself or text the link to the worker running that route. Routing service jobs this way is included, and so is Delivery Routing & Dispatch for product deliveries with drivers, proof of delivery and settlement.
How do workers record their hours, and can I run payroll from it?
Workers clock in and out against the job they are on, and each entry is tagged Service, Travel, Admin or Break with notes and break minutes. A manager approves or rejects every entry before it counts, hours past 8 in a day or 40 in a week are flagged as overtime, and each person carries an hourly rate on their staff profile. UpChannels does not run payroll or file payroll taxes, and there is no timesheet export yet β€” the approved hours live in UpChannels for you to read off.
What gets recorded when a technician finishes a job?
Completing a job writes the actual duration, completion notes, equipment used, a customer rating and written feedback, and a follow-up flag with a date if the job needs a second visit. The same step creates the time entry for the hours worked, so the job and the labor behind it are never recorded twice or out of step. You can also text the customer straight from the job, and the message lands in the same conversation thread as your other texts to them.
Is service scheduling an extra add-on, or part of the plan?
It is part of every plan, including Basic β€” Service Management is a core module, not a paid extra. Delivery Routing & Dispatch, for product deliveries with drivers and proof of delivery, is in every plan too; the Customer Portal, where a customer sees their own appointment and requests a change, comes with Pro and Premium. Texting dispatch lists and routes needs a plan with SMS, which starts at Pro.

Service Management is one part of UpChannels

UpChannels Service Management schedules and dispatches the work side of a small retailer or trade business β€” HVAC and plumbing calls, cleaning routes, lawn care and handyman jobs, and the installs and repairs that follow a furniture, appliance or electronics sale. It holds a service catalog with base price, hourly rate and expected duration per location, turns any service line on a sales order into a job on the calendar, and hands the day to workers as a printed dispatch list, a texted signed link that needs no login, or Google Maps directions resequenced for the shortest drive. Hours come back the same way: clocked against the job, split into service, travel, admin and break time, and approved by a manager before they count.

UpChannels is an all-in-one platform for small retailers and service businesses β€” sales, inventory, customers, scheduling, delivery, payments and finance in one system β€” and a real team that builds your website, runs your ads, and automates the busywork. Every capability below is included in the same subscription, with no integration to wire up between them.

The product moves faster than this page. UpChannels ships updates most weeks, so a description here can lag what is already in the software. Where the two disagree, the running product is the current version β€” tell us if you find one and we will correct the page.
