UpChannels
Financial Management

Finance made
simple

UpChannels records every expense with its receipt, posts your sales, refunds and purchases to a double-entry ledger, and builds the Profit & Loss statement and the balance sheet from it — for small retailers and service businesses with no bookkeeper on staff.

Expenses

Every dollar that leaves the business, recorded once

Expenses are where a small store quietly loses its margin. UpChannels records each one with its category, vendor, payment method and receipt, holds it for an owner or manager to approve, and posts the approved ones into operating expenses on your Profit & Loss — so nothing has to be re-keyed into a separate bookkeeping app.

Records, grouped and pivoted

Group expenses by category
or pivot them against status.

The same expense records read three ways. Standard is the flat list, Groupable stacks rows under one or more columns with a subtotal per group, and Pivot cross-tabulates any two dimensions — category against month, vendor against payment method — summed, averaged or counted.

Standard view: the flat list — date, description, category, amount, status
Groupable view: subtotals under category, status, approval status, payment method, employee or vendor
Pivot view: any two of those crossed, with sum, average, count, min or max in the cells

Receipts and approval

Every expense carries
its vendor, method and receipt.

One short form per expense: date, amount, category, payment method, vendor and a description. UpChannels will not file anything over $25 without an attached receipt, and the filed expense goes to an owner or manager for approval before it counts toward your operating expenses.

Receipt file attached to the record, required above $25
Cash, credit card, debit card, check, bank transfer or digital wallet
Approved or rejected by an owner or manager — never by the person who filed it

Common questions

Finance questions, answered

Can I import my expenses from a spreadsheet?
Yes, as a CSV. Download the template from the Import tab — it carries the columns UpChannels expects (Date, Amount, Category, Description, Payment Method, Vendor, Notes) with sample rows already filled in — paste your history underneath and upload, up to 500 rows and 10 MB per file. Excel workbooks are not parsed: an .xlsx or .xls upload is refused with a message asking you to export the sheet as CSV first, which is the one rough edge here. Rows that fail validation are listed with the field and the reason and can be downloaded as an error file, and the valid rows still import.
Who can approve an expense, and can I approve my own?
Only an owner or a manager can approve or reject one, and nobody can approve their own expense — the app blocks it even for a manager. An expense moves from Submitted to Approved or Rejected, then to Reimbursed once the money is paid back, and a rejection prompts for a reason that stays on the record. Rejected expenses are left out of your spend totals, so a disputed claim never inflates operating expenses on the Profit & Loss.
Does UpChannels make my team attach receipts?
Yes, above $25. The expense form refuses to submit an amount over $25 without a receipt file attached, then uploads the file and links it to the record so anyone reviewing the expense months later can open it. Below $25 a receipt is optional. The Expenses report shows a receipt-coverage figure for the period alongside total spend, average expense, pending approvals and pending reimbursements, so you can see how much of your spend is actually documented before your accountant asks.
Do my sales show up in the Profit & Loss automatically, or do I enter them again?
Automatically, and only once. When a sales order reaches Completed, Delivered or Shipped, UpChannels posts a balanced journal entry for it — accounts receivable against sales revenue and sales tax payable, plus cost of goods sold against inventory — and payments, refunds, approved expenses and delivered purchase orders each post their own entry the same way. The Profit & Loss then reads from that ledger: revenue split into product sales, service revenue, subscription and other, then cost of goods sold, gross profit, operating expenses broken out by category, operating income and net income before tax. Any month can be compared against the previous month, year to date and the same period a year earlier.
Can I see a balance sheet, and will it actually balance?
Yes. The Assets & Liabilities report groups your ledger accounts into current and non-current assets, current and long-term liabilities and equity, with a Retained Earnings line computed from the ledger income accounts so it ties back to the Profit & Loss. If something was never posted — an opening balance you did not enter, for instance — the report prints a Balance check line showing assets minus liabilities minus equity instead of quietly plugging the gap into a total. Assets you register carry a purchase price, a depreciation method and a useful life; loans carry an interest rate, maturity date and payment frequency, and both can age themselves.
Will UpChannels do my taxes?
No. UpChannels does not file taxes, calculate a tax liability or give tax advice, and the Income Tax Prep screen says so plainly rather than showing an invented estimate — it is marked coming soon and links you to the real numbers instead. What the finance module produces is what most preparation starts from: pre-tax net income on the Profit & Loss and categorized spend in the Expenses report, which is what you hand your accountant. One limit worth knowing up front is that the books are single-currency USD.
Is Finance included in my plan, or is it a paid add-on?
It is in the plan. The finance screens — expenses, Profit & Loss and Assets & Liabilities — come with the Pro and Premium plans; Basic does not include them, and exporting a report to CSV or PDF is a Premium feature. That is different from Bank Reconciliation and integrated card payments, which are genuine paid add-ons. Plans are priced per store with two users included, and the 14-day free trial opens every finance screen with no credit card. See plans and pricing.

Finance & Expense Management is one part of UpChannels

UpChannels Finance & Expense Management gives a small retailer or service business its books without a second system: every expense is recorded with a category, vendor, payment method and an attached receipt — required above $25 — then moves through submitted, approved and reimbursed, with only an owner or manager able to approve, and never their own claim. Sales, refunds, approved expenses and delivered purchase orders each post a balanced journal entry to a double-entry ledger, and the Profit & Loss and the Assets & Liabilities balance sheet are built from that ledger, so gross profit, operating expenses and net income come from the same records that rang up the sale. Finance is part of the Pro and Premium plans rather than a paid add-on, and the 14-day free trial opens it with no credit card.

UpChannels is an all-in-one platform for small retailers and service businesses — sales, inventory, customers, scheduling, delivery, payments and finance in one system — and a real team that builds your website, runs your ads, and automates the busywork. Every capability below is included in the same subscription, with no integration to wire up between them.

The product moves faster than this page. UpChannels ships updates most weeks, so a description here can lag what is already in the software. Where the two disagree, the running product is the current version — tell us if you find one and we will correct the page.
