Common questions

Writing a sale, answered

Can I take a lease-to-own or financing payment on an order?
Yes. The tender list on an order includes Snap, Acima, Progressive Leasing, Koalafi (Okinus), American First Finance, Katapult, FlexShopper and a generic financing option, alongside cash, check, the individual card brands, ACH and wire, Zelle, Cash App, Venmo, PayPal, store credit, gift card and trade-in credit. Each payment is stored under the provider it actually came from with its own note, so financing approvals stay separate from card deposits when you reconcile the day.
Can one order be split across two or three payments?
Yes. An order takes up to three payments, each with its own method, amount, status and note — a card deposit today and financing for the balance, for example. Loyalty credit is applied as an additional store-credit payment at the same time. If the payments do not cover the total, the order simply carries the open balance.
What happens to my stock when I write an order?
It depends on the order status. A pending order reserves the units — on-hand stays the same and the quantity moves into committed so the same unit is not sold twice — and fulfilling the order is what deducts on-hand. A quote holds no stock until you convert it, and converting a quote to a sale reserves the stock in that same step without retyping the order. Every one of those moves is written to the stock ledger.
Can I sell an item that is out of stock?
Yes, when you choose to. The line shows live availability and caps the quantity by default, and adding the item with Allow Oversell writes the sale anyway — which is what you want for a special order or a unit already on its way in. The line then carries a visible Oversell badge, and scrap orders never allow it.
How do returns and refunds work?
You can return a whole order or single lines. Each returned line records a condition — New, Used, Damaged or Defective — and that decides what happens to the stock: New and Used go back as sellable, while Damaged and Defective return to on-hand but are held out of available so they cannot be sold again by mistake. Once every line on the order has been returned, the order moves to Refunded.
Can I text a customer their invoice or receipt?
Yes. From the order, UpChannels mints a secure short link to the invoice or receipt and sends it by text or email; the customer opens it without logging in, and the link expires (30 days by default). The message goes out through the same conversation thread as your other texts to that customer, so the history stays in one place. Texting uses the store phone number on plans that include SMS.
Do I need an add-on to take card payments through UpChannels?
Not to record them. Recording any tender — including cards run on the processor you already use — is part of the core software, at no extra cost. The Stripe-powered Integrated Card Payments add-on is only needed when you want UpChannels to run the charge itself, on a smart terminal at the counter or through a pay-by-link attached to the invoice text. It is optional and priced separately, and you can keep your own processor instead.
