UpChannels
Order Management

Every order, from the
quote to the last payment

UpChannels keeps every sale, quote, return and scrap order in one list, with its items, its payments, its open balance and its delivery date on the same record. It is the order desk small retailers and service businesses run the day from: write it, take the deposit, book the delivery, close it out.

How an order moves

What an order holds, from the first quote to the final payment

An order in UpChannels is one record: the items, the tender or tenders that paid for them, the balance still owed, the delivery or service appointment, and the stock the order is holding until it ships. Nothing has to be re-entered anywhere else for the counter, the warehouse and the books to agree.

✨New Orders

Sales, quotes and returns
all start in one form.

Write a sale, a quote, a return or a scrap order from the same screen. Add products and services to the same order, set price and discount per line, attach a warranty with its provider, terms and price, and take payment across as many tenders as the customer actually used — cash, card, ACH, store credit, gift card, trade-in, loyalty points, or lease-to-own through Acima, SNAP, Progressive, Koalafi, Katapult, FlexShopper and American First. Saving a sale reserves the stock it needs, so the same unit cannot be promised twice.

📋Order History

Every order keeps its own
items, payments and history.

What did we sell them, and did they pay — that is one lookup. Search the order list by customer name, phone, address, product or service, or order number, then narrow it by store location, order status, payment status, service status, cashier and date range. Any order prints as an invoice or a quote, and can be emailed or texted to the customer as one.

📅Schedule

Book the delivery
from the order itself.

Schedule a delivery date or a service visit without leaving the order. The appointment lands on the shared calendar and the delivery board, and what happens afterwards comes back to the order — the appointment history, its event feed, and the proof-of-delivery photos the driver captured — all of it, routing and dispatch included, on every plan.

Common questions

Order questions, answered

Can I take a deposit now and collect the balance on delivery?
Yes. Record the deposit against the order when you write it and the rest stays on the order as an open balance, with every tender listed underneath. The order list can be filtered to Paid, Partially paid or Unpaid, so finding who still owes you is one filter rather than a spreadsheet.
Does it record lease-to-own and financing payments?
Yes. Acima, SNAP, Progressive Leasing, Koalafi (Okinus), Katapult, FlexShopper and American First Finance are first-class payment methods on an order, alongside cash, check, cards, ACH, Zelle, Cash App, Venmo, PayPal, store credit, gift cards, trade-in credit and loyalty points. One order can carry several tenders at once, so a part-financed, part-cash sale is recorded as it actually happened. UpChannels records the tender and the approval reference - the application itself still runs on the finance provider’s own portal.
What happens to my stock when I write an order?
Writing a sale reserves the stock it needs: the units are still physically on hand but no longer available to sell, so two salespeople cannot promise the same unit. Completing the order settles the reservation, drops on-hand, and records an outbound movement in the stock ledger. Cancelling releases the reservation instead, and a quote holds no stock at all until it is converted.
Can I turn a quote into a sale without re-typing it?
Yes. Convert on the quote carries the customer, the line items and the pricing straight into a sale, and reserves the stock at that moment. Quotes deliberately hold no inventory while they are open, which is why a quote that sits for three weeks never blocks a unit someone else wants to buy.
What if I need to change an order that has already been delivered?
It depends on how far the order got. A fulfilled order cannot be moved back to Pending - the goods have left and the stock movements that recorded it are permanent - so UpChannels refuses that instead of quietly letting the order lie. Use a return: pick the items coming back, set each one’s condition (new, used, damaged or defective), and the refund and the restock are booked together. Cancel is available for orders that have not shipped yet, and it keeps the payment and audit records rather than erasing them.
Can one order hold products and a service visit?
Yes. Products and services sit on the same order, and you can book the delivery or the service visit from the order itself. The appointment lands on the shared schedule, and what happens afterwards - the appointment’s events and any proof-of-delivery photos - comes back to the order’s delivery tab. Route optimization and driver dispatch are included in every plan, as is scheduling the visit.
Can I export my orders to a spreadsheet?
Yes, on the Premium plan. CSV export and the grouped and pivot views of the order list are Premium features; Basic and Pro see, search and filter every order but not those three. Pricing for all three plans is published, so you can check before you commit.

Order Management is one part of UpChannels

UpChannels Order Management is the order record for small retailers and service businesses: every sale, quote, return and scrap order lives in one list with its items, its payments, its open balance and its delivery date attached. Writing a sale reserves the stock it needs, recording a payment leaves a running balance, and completing the order moves the goods out of inventory, so the counter, the warehouse and the books agree without anything being entered twice. Orders print, email or text as an invoice, accept any tender from cash to lease-to-own, and can be scheduled for delivery or a service visit from the same screen.

UpChannels is an all-in-one platform for small retailers and service businesses — sales, inventory, customers, scheduling, delivery, payments and finance in one system — and a real team that builds your website, runs your ads, and automates the busywork. Every capability below is included in the same subscription, with no integration to wire up between them.

The product moves faster than this page. UpChannels ships updates most weeks, so a description here can lag what is already in the software. Where the two disagree, the running product is the current version — tell us if you find one and we will correct the page.
