How card payments work

Every card charge lands on the order and in your books

UpChannels runs card payments through your store's own Stripe account, inside the order screen your staff already use — at the counter on a smart reader, over the phone as a secure link, and back out again as refunds and payouts.

In-Person Payments

Charge the card at the counter
without re-keying the total.

Open an order's Payment tab, pick a registered reader, and hit Charge on reader. The terminal wakes up for tap or insert, and the screen shows live status until the payment completes — no re-keying totals into a separate machine.

Simple pairing: register a reader with a code and label it per counter
Partial payments: the amount defaults to balance due and stays editable
Guided Stripe onboarding: connect your store's own Stripe account in minutes

Payment Links

Get paid over the phone
without touching a card number.

Copy, email, or text: delivery built into the existing invoice dialogs
Auto-recorded: the paid link marks the order paid without staff touching it

Optional Add-On

An optional add-on — and your store stays the merchant of record.

Integrated payments is an optional add-on with an owner-controlled toggle — prefer your existing card processor? Keep it, and record those payments as you always have with no UpChannels payment fee. If you switch it on, your store is the merchant of record: your name on customer statements, funds settling to your own Stripe balance, and the transparent per-charge platform fee shown right in Settings — no surprise invoices.

Common questions

Payment questions, answered

Whose Stripe account does the money go into — mine or UpChannels'?
Yours. UpChannels connects your store's own Stripe account, so your business is the merchant of record: your name on the customer's card statement, your own Stripe dashboard, and payouts to your own bank on Stripe's normal schedule. Charges are made directly on your account — UpChannels never holds your funds.
Can I keep the card processor I already use?
Yes. Integrated payments is an optional add-on with an owner-controlled toggle, and it stays off until you switch it on. With it off you keep your current terminal and record what you took on the order's Payment tab — cash, check, bank transfer, store credit, gift card, digital wallet, or a card run on your own machine — and UpChannels charges no payment fee at all. Either way the order tracks total, paid, and balance due, and the payment posts to your books.
What does taking card payments through UpChannels cost?
There are two separate costs, and both are visible before you turn anything on. Stripe bills its own processing fees straight to your Stripe account, and UpChannels deducts a platform fee — a percentage plus a flat amount per charge — which is shown read-only in Settings → Payments so the schedule you are on is never a surprise. Integrated payments is priced as an add-on on top of your subscription; plans and the 14-day free trial are on the pricing page.
What card reader do I need to take payments at the counter?
A Stripe smart reader — the Stripe Reader S700 or the BBPOS WisePOS E. You register it with a short pairing code, label it something like Front counter, and link it to the store location; it then shows up in a dropdown on the order's Payment tab and wakes for tap or insert when you press Charge on reader. The amount defaults to the balance due but stays editable, so a deposit today and the balance on delivery day are two card payments on the same order. Bluetooth readers and Tap to Pay on a phone are not supported today.
How do I collect from a customer who ordered over the phone?
Create a payment link. One click on the order mints a Stripe-hosted checkout link for the open balance that is good for 24 hours; copy it, or send it by email or text from the same invoice dialogs you already use, so no one reads a card number aloud. When the customer pays, the payment records itself against that order and the balance updates without a staff member touching it. Stores that also run the Customer Portal (Pro and Premium) get a pay-online button on the customer's own order page.
Can I refund a customer to their card when they bring something back?
Yes. The Return Order screen has a checkbox that sends the money back through Stripe as part of the return, allocating across multiple card payments on the order, oldest first. The server recomputes the math on its own, so you cannot refund more than the return is worth or more than those cards still have refundable — and money already given back in cash is no longer refundable to the card. If a refund call fails, a Refund to card retry stays on the order's Payment tab.
What happens if the card goes through but my browser closes or the internet drops?
The payment still records. Stripe reports the successful charge over a webhook, and the order screen polls the reader while a cashier is watching, so either path settles the tender and posts the income. For the rare case where both are missed, a scheduled sweep picks up card payments still pending after ten minutes, checks each one against Stripe, and settles or cancels it — which is also why switching the add-on off mid-charge cannot lose money that already moved.

Integrated Payments is one part of UpChannels

UpChannels Integrated Payments takes card payments inside the same order screen that holds the sale — tap or insert on a Stripe smart reader at the counter, or send a Stripe-hosted checkout link for a phone or online sale — and records every charge, refund, dispute, and payout against that order. It is an optional add-on that runs on your store's own Stripe account, so your business is the merchant of record and payouts land in your bank. Small retailers and service businesses that would rather keep their current processor can leave it switched off and record cash, check, and card tenders by hand with no UpChannels payment fee.

UpChannels is an all-in-one platform for small retailers and service businesses — sales, inventory, customers, scheduling, delivery, payments and finance in one system — and a real team that builds your website, runs your ads, and automates the busywork. Every capability below is included in the same subscription, with no integration to wire up between them.

The product moves faster than this page. UpChannels ships updates most weeks, so a description here can lag what is already in the software. Where the two disagree, the running product is the current version — tell us if you find one and we will correct the page.
