From the first call to the closed-out job: book it, dispatch it, finish it on the phone and see what it cost. The stock you use and the money you take sit on the same records.
1 · Book
Book it with New job while the customer is still on the phone. Only the customer is required; the technician, the crew, the details and the time window sit on the same record.
2 · Dispatch
The board shows one day with a column per technician and one for Unassigned. Drag a job to another person or another time to reassign it. You do the dispatching; nothing assigns jobs on its own.
3 · On site
One morning message with a no-login link to their day, and another whenever someone changes it. On the visit they tap On my way, Arrived and Mark complete, so the taps are the clock.
4 · Close out
Photos typed before, during, damage and after. A checklist whose required items must be answered first. The parts used, straight from stock. The customer’s signature under your service terms.
5 · Get paid
The job’s order carries the payment. Charge a supported card reader from the order or the Register, or record cash and check. A refund goes back to the card from the return.
6 · Repeat
Set a tune-up or a cleaning to repeat monthly, quarterly, yearly or every six months, billed per visit or prepaid. Then see what each completed job cost in labour hours and parts beside what it billed.
Also sell units or parts?
An HVAC company that sells the unit. An appliance repair shop with a parts counter. The sale, the job and the parts it used sit on one customer record and one set of books — the pitch a field-service tool cannot make.
