Windward System Five is the bigger system, with the books, the receivables and the rentals inside it. UpChannels is the one you can price today, start this week, and take onto the truck.

Windward System Five is the better choice for a store that wants a complete accounting system inside its retail software — real double-entry ledgers, aged receivables with customer statements, payables with vendor bills and cheques, a profit-and-loss per department — and for a store that rents equipment, sells kits, quotes equipment leases, or wants the software installed on its own server; it has been sold since 1984, names BrandSource, MEGA Group, SPECTRA and Lighting One among the buying groups that trust it, and documents 1,287 capabilities. It is priced by custom quote, its implementation packages plan go-live three to five months into a project, and its annual maintenance contract is described as a standard expense for every user; none of those three carries a published figure. UpChannels is the better choice for a store that wants a price on the page — $99, $149 or $199 a month per store, no setup fee, a 14-day trial without a card — and needs what Windward’s pages do not describe: proof of delivery with a signature and photos at the door, a tracking text to the customer, a driver and a technician working from a link on their phone, a condition and photos on every serialized unit, and lease-to-own tenders from Acima, Snap or Progressive reconciled at the cash close. UpChannels keeps a double-entry ledger with a P&L and a balance sheet on Pro and Premium, but it has no customer statements, house accounts or receivables aging, no rental module, no installed option, and a feature set it keeps deliberately small. Both track serial numbers, both run work orders with deposits, both do layaway and special orders, both calculate commissions on sales or gross profit, and both count the drawer by denomination with an over-and-short (all checked 6 November 2026).

Strengths and limits, both sides

Written to the same standard for each: a limit of ours is stated as plainly as a limit of theirs. Windward System Five’s strengths are what their pages document; ours are what ships.

Windward System Five

Strengths

  • A complete accounting system inside the software: double-entry journal entries, aged receivables at 30, 60, 90 and 120 days with PDF statements and pre-authorised collection, payables with vendor bills and cheques, a profit-and-loss and balance sheet, and a ledger per department.
  • Depth at the counter: eight reserved tenders plus configurable ones, native gift cards, split tenders, layaway that reserves stock, a touch-screen designer, a customer-facing display, cash-up by denomination with over-and-short, a deposit wizard and a cash-clearing audit.
  • Commissions on price or gross profit, banded by margin, split across salespeople, gated by sales tiers, with SPIFs to move slow stock.
  • Modules a small retailer rarely finds in one system: static, dynamic and tag-along kits, an 81-capability rental solution, equipment-lease quoting, multi-currency, and 1,287 documented capabilities in all.
  • Cloud on Microsoft Azure as a virtual desktop, or installed on your own server; sold since 1984, and it names BrandSource, MEGA Group, SPECTRA and Lighting One among the buying groups that use it (its claim).
  • E-commerce to third-party carts, including an existing WooCommerce store, with a done-for-you option and dedicated online price schedules.

Limits

  • No published price for the software, the maintenance contract or the implementation packages; every system is custom-quoted, and a trial is not offered on the pages read.
  • Going live is a project: three to five months by its own packages, with Essentials excluding help compiling or validating your data.
  • The annual maintenance contract is "a standard annual business expense for all Windward System Five users", unpriced, and the page does not say what lapses without it.
  • The truck is not in the system: deliveries are scheduled and a driver assigned, but routing is a link to Google Maps or MapQuest, and proof of delivery, a driver app and automatic delivery texts are not on its pages.
  • Serialized units carry no documented condition grade or photos, and consumer lease-to-own providers are not mentioned; its leasing module quotes equipment leases.
  • Mobile is an Optional browser companion for orders and lookups; a technician workflow, a customer portal and QuickBooks are not on the pages read, and many of the capabilities above are marked Optional.

UpChannels

Strengths

  • A price on the page — $99, $149 or $199 a month per store, no setup fee, no per-register fee — and a 14-day trial with no card, with setup help from the same team on every plan.
  • The truck is in the system: one-click route order, a driver link with no app, signature and photos at the door even without signal, the delivery settling the order, and a tracking text to the customer at five points.
  • Every serialized unit carries a condition and a status with photos and history; every movement is a permanent ledger entry; a one-click audit finds and corrects drift.
  • Lease-to-own by consumer provider — Acima, Progressive, Snap, Katapult and the rest — kept on the awaiting-funding list at cash close until the provider pays.
  • Service jobs with a technician’s day link, parts from stock onto the job, equipment history and a warranty claim filled in from the repair; a customer portal on Pro and Premium; a time clock and pay runs on every plan.
  • A team that builds the website, runs Google and Meta ads and connects your other systems, quoted separately.

Limits

  • A smaller system by design: kits, rentals, equipment-lease quoting and payables with cheques are not in it, and its capabilities page names what it does not do.
  • The ledger, P&L, balance sheet, vendor bills and payables are on Pro and Premium only, and there is no cheque printing, no customer statements, no house accounts and no receivables aging.
  • No rental module, no kits (variants only), no multi-currency, and no installed option — cloud only.
  • The card rate is not published; it is Stripe’s rate plus a platform fee shown in the app.
  • The QuickBooks Online sync, the phone app, payment links and online payment by the customer are built and coming soon, not switched on; the storefront is built by the team and quoted.
  • Customer texts and the portal are on Pro and Premium; advanced list and pivot exports are on Premium.

Side by side, in detail

What you needUpChannelsWindward System Five
What do I pay, and on what terms?Pro is $149/mo per store (list $299), month-to-month, with two users included and extra users in packs of five at $29/mo; Basic is $99 and Premium $199. No setup fee, no per-register fee. Free 14-day trial, no credit card. Not published. Their pricing page says every system is priced individually to give "a custom quote that is tailored to your business"; the only figures on it are professional-services plans that "Start at $750" and technical packages "Custom Quoted". Add-ons listed without prices include Advanced Inventory Control, Contractor Solution, Rental Solution, Multi-currency, Payroll, Additional Set of Books, Windward Intelligence and the SCAN App. A "Windward Maintenance Contract is a standard annual business expense for all Windward System Five users", with no price or renewal terms stated. A trial is not mentioned; the calls to action are a quote and a live demonstration (checked 6 November 2026).
How long until I am live?Days. Import products, customers and serialized units from CSV or Excel, set the store up with the team’s help on every plan, and run the trial in the meantime.Months, by their own packages: Essentials is a four-month project with go-live planned at three months, Standard six months with go-live at four, Premium eight months with go-live at five, each with a go-live task list, week-one check-ins and a capped block of post-go-live hours (8, 12 or 18). Essentials "Does not include assistance compiling or validating the data in Excel". Package prices are not stated and the page was last updated 14 February 2025 (checked 6 November 2026).
Does it track every unit by serial number, with its condition?Yes. Serialized units follow their serial from receiving through reserved, sold and delivered; each carries a condition (New, Open box, Used, Damaged) and a status from your own list, with notes, photos and history. Every movement is a permanent ledger entry; a one-click audit finds and corrects drift; a cycle count records the variance and the reason.Yes. Flagged items require serials at receiving — "you must enter the serial numbers of the items as you receive the stock" — serials are assigned or auto-selected at sale, and "The serial numbers retain all the history": purchase order, supplier bill, invoice, customer, cost and price, with warranty details and transfers across branches. The appliance page adds deferred capture — "you can sell an item without the serial number and take a deposit from the customer". A condition or grade per unit, open-box or scratch-and-dent tracking, photos per unit and a change log are not stated (checked 6 November 2026).
Purchasing, counts and kits?Purchase orders received in full or in part with the units landing in stock at cost, scanned in with a scanner or a phone camera; a replenishment list of what fell below its reorder point (you raise the order); cycle counts with variance; product variants, but no bundled kits yet.Purchase orders with printed and warning comments, barcode receiving, the supplier’s last cost shown before ordering, and a recommendation of "new highs and lows based on the sales volumes, shipping times and sales trends" with "automatic purchase ordering"; stock is costed first-in, first-out with average costing on request; "Kits, which are also known as a bill of materials" come as static, dynamic and tag-along; counts run by scanner. Cycle counts by name, count variance reports and price-tag printing are not stated (checked 6 November 2026).
Can it run the repair bench — work orders, parts, a technician?Yes, on every plan. A service job with a lead technician and crew, a no-login link that gives each technician their day on their phone, parts from stock or ordered on a purchase order from the job, a price book for the trade, recurring visits, the customer’s equipment with its warranty dates and every visit since, and a warranty or protection-plan claim filled in from the job.Partly documented. Staff "create quotes, work orders, invoices and convert invoice type on-the-fly", take deposits on work orders, track "inventory for a specific job or work order", and "measure the individual performance of your technicians" through service and technician time tracking; purchase and service history per customer is kept and "is ideal for warranty tracking". Job Setup (5) and Job Costing (4) are Optional capability clusters. Equipment check-in, assigning a technician to a job, job statuses, a technician’s mobile workflow, recurring service and a claim form are not on the pages read (checked 6 November 2026).
Can it route a delivery and prove it was delivered?Yes, on every plan: arrange a driver’s stops in one click, send the driver a private link with no app to install, capture a signature, photos and notes at the door even with no signal, let the delivery settle the order, and message the customer at five points with a tracking link.Scheduled, not proven. "Deliveries can be scheduled at any time during a sale, or added to any work order", staff assign "who’s going to deliver the items", attach notes such as "Call cell before arrival", "check their availability on the delivery date", and open "View Map" or "Driving Instructions" in Google Maps or MapQuest to "plan an efficient delivery route"; deliveries have their own calendar view. Signature capture is for invoices on "tablet PC’s" and PIN pads. Proof of delivery, a driver app, photos, GPS and automatic delivery notifications are not stated (checked 6 November 2026).
How do customers pay — layaway, deposits, house accounts, financing?Deposits with the balance collected later, layaway-style holds, special orders, store credit and gift cards, trade-in credit, loyalty points, split tenders, and lease-to-own by named consumer provider — Acima, Progressive, Snap, Katapult, FlexShopper, Okinus, American First — kept on the awaiting-funding list at cash close. No house-charge accounts, statements or receivables aging.Eight reserved tenders ("cash, cheque, check, debit, Visa, MasterCard, American Express and Discover") plus configurable ones, "A native gift card program", split tenders across "cash, debit, cheque, gift certificate and multiple card types", "Layaway invoices reserve the inventory for the customer", deposits on work orders, special orders prompted at sale and linked to the purchase order, and charge sales to account customers with PDF statements and aged receivables. Its Optional Finance and Leasing capabilities quote equipment leases — LeaseQuest terms on an estimate, a credit application emailed to the lessor, a hand-off to F and I Systems; consumer lease-to-own providers such as Acima or Snap are not mentioned (checked 6 November 2026).
Can I take a card, and what does it cost?Either bring the processor you already use — UpChannels takes no percentage of your card volume — or turn on the Stripe add-on and charge a countertop smart reader from the order, at Stripe’s rate plus a platform fee shown in the app before you turn it on. We do not publish a blended number.Integrated processing "By partnering with either Worldpay from FIS or EVO Payments in the US, or Global Payments in Canada", accepting "the full range of credit, debit and gift cards" with "authorization speeds as fast as three seconds". Rates, fees, terminal hardware and a bring-your-own-processor option are not stated (checked 6 November 2026). Neither of us prints a rate.
Does it close the month — P&L, balance sheet, payables, bank, QuickBooks?Pro and Premium include a double-entry ledger with a chart of accounts, a profit-and-loss and balance sheet printable to PDF, vendor bills checked line by line against the purchase order, and accounts payable with aging and vendor statements; bank reconciliation is a paid add-on; sales tax reports by jurisdiction with filing periods. No cheque printing, no customer statements. The QuickBooks Online sync is built and coming soon; until then our team connects QuickBooks for you. This is what System Five is built around: "standard double entries where the debits must equal the credits", income and expense statements and balance sheets reprintable for past periods, "Aged accounts receivable reports" at 30, 60, 90 and an optional 120 days with "Statements … produced as PDFs" and recurring receivables "collected by pre-authorised credit card or EFT", vendor bills and cheques in "the accounts payable system" with aged payables, a ledger per department "reported separately or combined", transfers posted to a transfer account automatically, a denomination cash count with over-and-short, a deposit wizard and a cash-clearing audit. CaseWare is named as an accounting integration; QuickBooks and bank reconciliation are not mentioned on the pages read; Payroll is an unpriced add-on (checked 6 November 2026).
Can I sell online from the same stock?Through our team: we build your website on your own domain — a product storefront with checkout, a booking-first service site, or both — running on the same system as your counter. It is quoted, not published, and not self-serve.Yes, to a third-party cart: "We integrate to third-party carts", with three routes — "Existing WooCommerce Cart", "Done For You" and "Use Your Own Developer" — keeping "product listings, pricing, inventory levels, and customer data" in sync, online orders flowing in, and "dedicated eCommerce price schedules". WebSell is listed as an integration on the pricing page. Pricing, hosting and the checkout’s payment processor are not stated (checked 6 November 2026).
More than one store, and where does it run?Every plan, cloud only: each location has its own profile, stock, tax rules and staff; stock is counted per location and transferred with the movement recorded; reports run per location or across all. Each store is its own subscription."Inventory quantities can be tracked per department for physically separate stores and warehouses", transfer invoices move stock between departments "at cost with no income shown" and post to the ledger automatically, "Each department has an identical general ledger", reporting is amalgamated or by store, and branches synchronize "overnight, or in real-time". Per-store pricing and per-location fees are not stated. It runs on Windward’s Microsoft Azure cloud as "a virtual desktop on your computer" — "now our preferred method of deployment" — or installed on your own server (checked 6 November 2026).
Does it pay the staff — commissions, time clock, pay runs?Yes, on every plan: commission on sales or gross profit to whoever sold and whoever did the work, split between up to three people, manufacturer spiffs run between two dates, a PIN time clock with breaks recorded, a published schedule, and a pay run that works out what each person is owed, exported for whoever files payroll. UpChannels is not a payroll provider.Commissions are deep: "Commission can be calculated on selling price, on gross profit", rates "banded by achieved profit margin" and "set per salesperson", credit "split between salespeople" under four attribution models, tiers gated by cumulative sales, and SPIFs "to move slow moving items". Employee sign-in and sign-out by name or number and time sheets by period are Optional capabilities, and Payroll is an add-on without a stated price (checked 6 November 2026).
Who sets it up, and am I locked in?Setup help comes with every plan from the same team; month-to-month, cancel any time, no setup fee, no maintenance contract, and the trial takes no card.Implementation packages and prepaid hour blocks from the Professional Services team, phone, screen-sharing or on-site support "depending on edition and plan", a Learning Academy and bi-weekly webinars "Available only for customers on Maintenance or Subscriptions (On-Cloud)". The annual maintenance contract’s price, renewal and cancellation terms, and what lapses without it, are not stated (checked 6 November 2026).

Choose Windward System Five if

  • You want the whole accounting system in the software: payables with cheques, receivables with statements and aging, a ledger per department, multi-currency. UpChannels keeps a ledger with a P&L and balance sheet on Pro, and stops there.
  • You rent equipment, sell kits, or quote equipment leases. Windward documents an 81-capability rental solution, three kinds of kit and a leasing module; UpChannels has none of the three.
  • You want the software on your own server, or a buying group’s stamp on it: Windward installs on-premises or runs on its Azure cloud, and names BrandSource, MEGA Group, SPECTRA and Lighting One (its claim).
  • You want commissions banded by margin, split across salespeople and gated by tiers, and cash-up by denomination with a deposit wizard — Windward’s pages document each.
  • You have the time and the budget for a quoted implementation measured in months, and want a 40-year vendor behind it.

Choose UpChannels if

  • You want a price today and a store live this month: $99 to $199 a month on the page, no setup fee, no maintenance contract, a 14-day trial without a card.
  • Delivery is half your week. Route order in one click, a driver link with no app, a signature and photos at the door, a tracking text to the customer — Windward schedules the delivery and links to a map, and its pages stop there.
  • You sell open-box, scratch-and-dent and used units and need the condition, the photos and the history on each serial, with a ledger and an audit behind the count.
  • Your customers lease from Acima, Snap or Progressive and you need each tender reconciled at the cash close when the provider pays; Windward’s leasing module quotes equipment leases.
  • You want a team behind the software — ads run, website built, systems connected — and a technician and a customer each working from a link on their phone.
Common questions

Switching from Windward System Five

I am on Windward System Five today. What actually moves across?
Products, customers and serialized units come in from a spreadsheet — System Five exports its reports, and our importer takes CSV and Excel, treats the SKU as the product and the serial as the unit, and fills in blank product fields. Open work orders, layaways and account balances are usually re-entered rather than imported; a customer’s receivable balance has nowhere to go in UpChannels, which tracks a balance per order, so collect or settle it before you move. Your general ledger history stays in System Five or your accountant’s copy; UpChannels starts its own ledger from the day you switch.
Am I locked in on either side?
UpChannels is month-to-month on every plan, with no setup fee and a 14-day trial that takes no card. Windward’s terms are not on its pages: the software is custom-quoted, the maintenance contract is annual with no price, renewal or cancellation terms stated, and the implementation packages are quoted separately (checked 6 November 2026). Ask for the contract before you sign, and ask what lapses if the maintenance contract does.
Which costs less?
We cannot do that sum for you, because Windward publishes no price for the software, the maintenance contract or the implementation packages; the only figures on its pricing page are professional-services plans from $750. UpChannels Pro is $1,788 a year, Basic $1,188, Premium $2,388, plus $29 a month for each pack of five users beyond two. Get Windward’s quote with the maintenance and implementation lines on it, then compare the first-year and the fifth-year totals.
What gets worse if I switch?
Five things, plainly. Payables with cheques, customer statements, receivables aging and a departmental ledger go away; UpChannels has a ledger with a P&L and balance sheet on Pro and no more. Kits, rentals and equipment-lease quoting go away. The installed option goes away; UpChannels is cloud only. Margin-banded, tiered commissions become commission on sales or gross profit, split up to three ways. And a 1,287-capability index becomes a 103-entry one that names what it does not do.
Who should not switch?
A store whose accountant lives in the software — payables, statements, departmental ledgers — or one that rents, sells kits, or wants an installed system with a buying group behind it. Windward is built for that store, and UpChannels would be a step down for it. We would rather say so than sell you a delivery board to replace your general ledger.
Can I keep QuickBooks?
With UpChannels, yes: it keeps its own double-entry ledger on Pro and Premium, exports any report as CSV, Excel or PDF, and will send each store day to QuickBooks Online as one journal entry when that sync is switched on; until then our team connects QuickBooks for you. Windward’s accounting pages do not mention QuickBooks; they name CaseWare as an accounting integration and keep the books inside System Five.
